Analysis of Project Communication on Smart Card Implementation in Higher Education

Project communication is the exchange of project-specific information with the emphasis on creating understanding between the sender and the receiver. It reflected simultaneously to be an indispensable tool to manage project resources systematically. Communication through coordination and cooperation are common approach used for project scheduling, planning and control while collaboration establish the concrete result. Therefore, communication still remained as the main connector above all. Poor communication skill can cause anger, misunderstandings, conflict and distance that eventually influence project process significantly and lead to project failures. Analysis study was conducted to the ‘hiatus’ smart card project implementation in XYZ Malaysian higher education with emphasize the point of communication as the important point should be considered without eliminating other knowledge management area which also important in succession of project. In addition, the analysis study conducted to give limelight specifically towards the smart card implementation in higher education as the reference of other project in preventing project failure happen.

The use of stakeholder management is crucial for achieving success in projects, specifically within the domain of e-government project consulting. The aforementioned procedure encompasses the identification of persons, organizations, or entities that possess the capacity to exert influence over a project, comprehending their expectations, and evaluating the probable consequences of their involvement. The development of effective management strategies involves the engagement of stakeholders in decision-making processes, the establishment of ongoing contacts, and the resolution of challenges, all with a focus on prioritizing their needs and expectations. Communication Management Plans are of utmost importance as they serve to ensure the implementation of effective communication methods that facilitate the alignment between stakeholders and project objectives. Within the realm of e-government consulting, the process entails actively involving diverse stakeholders, including IT Governance Boards, Project Managers, and other relevant parties. This is achieved by the use of different techniques, such as the regular dissemination of reports on a weekly basis, conducting surveys, carrying out interviews, and facilitating group discussions on dedicated forums. Stakeholder mapping is an effective method for addressing typical obstacles encountered in stakeholder management. This tool facilitates the classification of stakeholders according to their degrees of interest and power, hence enabling the development of customized engagement strategies. The successful execution of projects, particularly intricate endeavors such as e-government, relies heavily on thorough stakeholder management and well-defined communication protocols. The capacity to discern essential stakeholders, comprehend their issues, and develop efficient lines of communication is crucial in attaining project success.

The parking process is common attempt to eliminate traffic in the road by providing certain spot for vehicle to stay for certain time. Considering the increase of amount of population, large parking area horizontally or vertically is not necessary proper solution because it requires enormous expenses to acquire vacant land or to construct high-rise building. Therefore, smart parking system is one solution to provide information on the availability of vacant parking locations efficiently and conduct identification and transaction process quickly. Telkom University has been adopted this system by using physical card with RFID built-in for handling, convenience and security purposes since October 2014. Even though, it deliver an easy way for verification and validation but some problem occurred that raise several complaints from student and staff. This study has objective to explore the challenges and to addresses the issues faced by smart parking system, which has been implemented in subsequent years. By identifying the solution, it can improve the quality of the system for greater purpose in the future.

This paper examines the relationship between project planning efforts and project success. Three planning aspects are considered (requirements definition, development of technical specifications, and project management processes and procedures), along with three perspectives on project success (end-user, project manager, and contracting office). The study is based on data from more than a hundred defense research and development projects (aimed at the development of weapon systems and support equipment) performed in Israel and includes an analysis of the statistical correlation between the two sets of variables. The findings suggest that project success is insensitive to the level of implementation of management processes and procedures, which are readily supported by modern computerized tools and project management training. On the other hand, project success is positively correlated with the investment in requirements’ definition and development of technical specifications.

Smart cards have been around for a while now; it has been mainly used to store some kind of monetary value. Currently smart cards can be seen in the transportation, telecommunication and retail sectors. This paper aims to design a student card system for an educational institute using smart card technology that can be usable in the transportation, retail and educational sectors. The smart card will be used as means for identification, security and cash. From there we can see the potential and power of smart cards their versatility, practicality and usability.

A series of team reporting projects is used to teach concepts of audience and communication skills in technical and professional communication courses at the Univ. of Texas at Arlington. Supplemental to conventional reporting assignments, the projects range from short exercises done in a single class period to extended out-of-class projects involving both a literature review and primary research. In each, students work in small, interdisciplinary groups to solve a problem, prepare a team-written report, and deliver an oral presentation. Short exercises are graded by the instructor; the more extensive reporting projects are graded by peers and by the instructor using evaluation checklists.

A great many of today's construction projects are characterized by high levels of dynamics, namely, the combined effect of complexity, uncertainty, and speed. Managing projects under such conditions is difficult and challenging, and the question is asked: How do managers do it? Aspiring to answer this question, ten excellent on-site construction project managers were systematically observed during one workweek each, within an extensive study that examined their performance in their dynamic management environments. The structured observation and documentation and the analysis that followed them enabled us to characterize the managers' work and exposed their unique modes of operation through which they consistently excel in their work. Among many aspects addressed by the said study, this paper focuses on communication and, using various measures, examines the intensiveness and extensiveness of communication performed by the PMs in the broad context of their work. The study found that the on-site construction PMs were strongly oriented toward verbal communication of information (during nearly 80% of their activities and time); they spent a major portion of their workdays in meetings (during 60% of their activities, and of which nearly 80% were unplanned); and they showed clear preference for interacting informally with no more than one or two other persons (during 93% of their activities and 88% of the time). The unique knowledge base resulting from this study constitutes a potential contribution for practitioners who are required to function in similar dynamic work environments, as well as for students, teachers, and researchers of construction management.

What kind of communications problems exist in an international project environment, and how do they impact the execution of work? Extensive interviews show that there is often a lack of standards, and often no well-defined approach managers use to offset communications issues on international projects. Further, when effective strategies are found, they tend not to become institutional knowledge. After giving an overview of likely communication issues, the author evaluates specific tactics used by international project managers, and reviews how those tactics ultimately impact project performance.

In 2006, a program geared towards integrating technical communication and teamwork within engineering at the University of Utah was initiated. The program’s aim was to improve communication education using technical course assignments, thereby avoiding the addition of a technical elective to an already full engineering schedule, and taking advantage of teaching communication in a direct application to the students’ engineering experience. As part of this project, the Center for Engineering Leadership (CLEAR) provided graduate students from the Department of Communication and University Writing Program to instruct engineering students a few times during the semester. These sessions were used to teach specific communication concepts that could be directly applied to engineering tasks they were working on in the course (such as engineering documentation or system design papers). These writing assignments provided students with a higher level understanding of technical material as they practiced explaining it to peers and other audiences [1].

This paper aims to understand the communications process in Information Technology (IT) projects. Furthermore, this study investigated the influence of professional profile on the perception of project communication importance. The selected methodological approach uses a combination of qualitative and quantitative methods. Data were gathered from a questionnaire survey of 57 professionals of the studied company involved in IT projects. The results suggested that a formal communications plan is drawn up in only a small percentage of projects, and neither writing performance reports or having a system of control over lessons learned are frequent practices at the organization studied.
